Privacy statement

This privacy statement applies to the website of summie B.V. ("summie", "we", "us"), the contact form on it, and the account management of users of the summie platform. Are you a user of the summie platform on behalf of an organization that is a client of ours? For the contracts and other Customer Data processed via the platform, this statement does not apply; instead, the data processing agreement between summie and that organization, which is attached to our General Terms and Conditions, applies. Any questions regarding this are best directed to that organization itself. For your own account details (such as login credentials and support contact), summie is the direct data controller; please see article 3a below.

1. Who we are

summie B.V. is the provider of this website and responsible for the processing of personal data as described in this document. You can find our contact details at the bottom.

2. Data Collected When You Visit the Website

Like most websites, we automatically collect some technical data from visitors, such as browser type, language preference, referring website, and time of visit. We use this data only to understand how the website is used and to improve it where necessary. This data is not linked to an individual visitor.

3. Contact Form and Account Request

When you fill in our contact form, request a demo, or create a summie account, we ask for data such as your name, email address, phone number, and company name. We use this data solely to respond to your question, schedule a demo, or set up the account for your organization. The legal basis for this is the performance of (preparatory actions for) an agreement with you or your organization. We do not use this data for other purposes and do not share it with third parties for marketing purposes.

Leaving your email address without a specific request. Does a form only ask for your email address, for example to stay informed or to sign up for a waiting list? Then that is not the performance of an agreement but marketing, and we ask for your consent in advance. You can unsubscribe again at any time via the link at the bottom of our emails or by emailing us; this only withdraws your consent for those future emails.

For every form where we ask for your data, we briefly indicate what we use it for and link to this privacy statement, so that you can read it before you fill in anything.

3a. Platform users (account details)

Are you using the summie platform on behalf of an organization that is our customer? In addition to the Customer Data governed by the processor agreement with that organization, we also process data directly linked to your own account: your name and email address, login details, IP addresses and login times, and the content of support tickets you share with us. For this account data, we act as the data controller, independent of the role summie plays as a processor for your organization's Customer Data. The legal basis for this is the performance of the contract with your organization and our legitimate interest in security and providing support. We retain this account data for the duration of your access to the platform, and thereafter no longer than necessary for security purposes or to comply with a legal retention obligation. The rights set out in Article 7 of this statement apply in full to this account data.

4. Cookies

Our website currently uses only functional cookies that are necessary for the website to work properly (for example, to remember your preferences during a session). We do not currently place any analytical, marketing, or tracking cookies, and therefore do not ask for cookie consent at this time. As soon as this changes, we will update this privacy statement and, where legally required, ask for consent in advance via a cookie banner.

5. Sharing with Third Parties

We never sell your data to third parties. We use a limited number of carefully chosen service providers to run our website and email communication, such as our hosting provider and our email infrastructure. These parties may only use data to help us provide the website and services.

6. Retention Period

We do not retain data from the contact form longer than necessary to answer your question or complete the account request, with a maximum of 24 months after the last contact, unless longer retention is legally required.

7. Your Rights

Under the GDPR, you have the right to access, rectification, erasure, restriction of processing, data portability, and objection to processing based on legitimate interest. You can exercise these rights by contacting us using the details below. Do you disagree with the way we process your personal data? Then you have the right to file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

8. Changes

We may update this privacy statement from time to time, for example when we add new functionality to the website or when legislation changes. The date at the top of this document indicates when the statement was last updated.
